Job Description

POSITION DETAILS
Reporting to the Deputy Director of Athletics/Chief of Staff, the Business Operations Assistant will assist in the organization and execution of various administrative duties. Providing department staff, donors and guests with customer service and assistance.



RESPONSIBILITIES
Primary duties include, but are not limited to:

Preparing correspondence for Director of Athletics and Deputy Director of Athletics as needed.
Oversee the department’s Ambassador program with local volunteers.
Assist in submitting purchase requisitions for POs for the department.
Complete invoice payments with Accounts Payable for POs received.
Train all new hires during the onboarding processes in the department and university processes and policies.
Assist in submitting all contracts via the University’s contract routing process.
Oversee the game contracts process for all sports.
Plan and oversee the football season VIP gameday experience.
Assist in the planning of the department’s Buc Club fundraising events.
Department liaison for camps to assist in providing steps to coaches on getting them approved by the University.
Assist as needed in processing ticket orders and requests.
Manage and submit courtesy car program paperwork monthly.
Manage approved driver paperwork for insurance with Business Office.
Oversee the Hall of Fame banquet and any other special events during the year.
Primary department liaison for work study student hiring process.
Help with continual evaluation of department policies and procedures.
Oversight of the Kids Buc Club program.
Manage game guarantee payment schedules.
Develop systems and procedures to help streamline the department’s business operations.




Additional duties:

Additional duties may be assigned by the Deputy Director of Athletics/Chief of Staff.





Education/Qualifications:

Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
Excellent computer proficiency (MS Office – Word, Excel and Outlook)
Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
Bachelor’s Degree; required


Preferred Qualifications:
Ability to interact with individuals of various social, cultural, economic and educational backgrounds; to work collaboratively and effectively with other staff; student-athletes; coaches; administrators and be able to work in time sensitive and occasional pressured environments.
Demonstrated ability to exercise sound judgment and handle confidential information with discretion.
Possess analytical and problem-solving abilities; outstanding communication skills, both oral and written.
Ability to organize tasks and set priorities.
Must have total commitment to the adherence to NCAA, Big South Conference and Institutional regulations.
Ability to operate basic office equipment, use Windows based PC using Microsoft Office.
Ability to maintain regular, punctual attendance consistent with industry standards, other federal, state, and local standards
Nights and weekend work required as needed
Must be able to lift and carry up to 25 lbs
