Duties and Responsibilities:
- Coordinate, participate, and select prospective student applicants who take part in on-campus auditions/interviews for the Department of Theatre and Dance academic programs. Work includes organizing all applicants using SLATE and working with the Office of Admissions on tracking all correspondence with all Ball State Offices. Duties also include coordinating all schedules, time slots, and necessary requirements. Supervise and plan all audition/interview day needs including registration and coordination of student volunteers (50-60 current students), providing necessary prospective student information for auditions, and serve as facilitator to all families in attendance to ensure each prospective student is seen in the best possible light. Post audition duties include monitoring and facilitating student audition database.
- Coordinate, participate, and select prospective student applicants who take part in off-campus auditions/interviews for the Department of Theatre and Dance academic programs. Work includes organizing all applicants using SLATE and working with the Office of Admissions on tracking all correspondence with all Ball State Offices. Duties also include coordinating all schedules, time slots, and necessary requirements. For all off-campus auditions, work collaboratively with the Faculty Recruitment Liaison to reserve all necessary venues in New York, Chicago, and Los Angeles. Arrange details for Dallas, New Orleans, and other cities as needed. Travel to aforementioned venues to observe and facilitate on-site audition/interview management. Prepare all recruiting materials for travel; registration forms and time slot breakdowns. Communicate with current students, alumni, and other volunteers about the function of off-campus audition days. Post audition duties include monitoring and facilitating student audition database including “walk in” candidates.
- Plan and coordinate all off-campus recruitment activities by working with Theatre and Dance staff members and student workers who coordinate travel. Duties include provide logistical and demographic data to all attending faculty; create individual schedules for each location; facilitate all follow-up emails and letters to prospective students. When possible attend events to manage on-site recruitment activities. Collaborate with Faculty Recruitment Liaison on strategic recruitment locations and projected outcomes. Research new events and construct relationships with local and regional high school and host locations. Identify areas of study that require extra attention and plan the best way to maintain and increase matriculation numbers.
- Communicate and counsel with prospective students and their guardians regarding areas of study. Work directly with the Welcome Center to arrange and facilitate guests to campus (roughly 6-12 weekly visits during peak season – October – February); discuss curriculum, application process, scholarships, production season, audition/interview processes, answer any and all questions. Work directly with prospective students (50-60 specialty visits) to arrange full day with the department; classes in area of study, program presentation, class observation, meet and greet with current students (typically post audition/interview). Stay informed regarding other university, conservatory, and community college programs.
- Plan and coordinate all on-campus recruitment events; Cardinal Preview Days, Explore Ball State Day, Major Fair, Counselor Day, Experience Ball State Day, Admitted Students Day. Follow up with guests as needed.
- Teach two departmental courses each year including, but not limited to, the department’s First Year Experience course (THE 105), First Year Practicum course (280), and special topics courses specifically needed in the areas of recruitment (THE 490/THE 496). Further, work in conjunction with Primary Department Advisor and Associate Chair to ensure that all sections of non-production related practicum and directed study classes are completed for 8 semester plans. Courses include THEA 280, THEA 380, THEA 496, DANC 496 (40-60 students depending on semester).
- Serve as Chair for Recruitment Committee and offer input on targeted recruiting efforts, communication needs for high school students (delivery methods), data collecting and surveying the student body, provide insight into recruitment techniques; offer suggestions on recruitment trips; provide recommendations to improve processes for recruitment.
- Facilitate student staff in the maintenance of all databases for national, regional, and local high school theatre contact lists, current student contact information, current faculty and staff contact information, current faculty and staff Ball State ID number data, prospective student database, major/minor guardian mailing lists, major/minor counts for reporting, and email updating.
- Hire, train, and supervise Student Recruitment Specialists and Alumni Ambassadors working for the Department of Theatre and Dance. Assign and review work, orient, train, and make recommendations in all areas related to student supervision, including but not limited to, interview and selection, discipline, performance appraisal, and development of paid students in the recruitment area.
- Develop, plan and facilitate Theatre and Dance summer orientation; develop daily attendance rosters, create course schedules for all incoming students; manage permissions and class limits, attend all orientation sessions as support to faculty, new students and their guardians; work directly with Academic Advising on any issues that may occur.
- Serve as the department’s first point of contact for the implementation of all 8 semester plans with the CFA Scheduling Coordinator. Approve all permissions based on 8-semester plans and student needs toward graduation, communicate on-line class needs, monitor classroom needs outside of department, work with Academic Systems on issues that arise.
- Plan, organize, budget, and, mentor students, and facilitate all non-show-season-related Theatre and Dance events including, but not limited to, departmental picnic, senior awards banquet, annual holiday gathering, annual golf outing, and One Ball State Day participation. Further, coordinate and collaborate with University Development and Theatre and Dance Marketing Director with all departmental fundraising efforts.
- Perform other related duties as assigned.
