This includes but is not limited to:
- liaison with the internal and external community to set up meetings, make arrangements for meeting logistics, answer questions, and assist with problems;
- take minutes at all senior-level staff and committee meetings;
- operating independently in prioritizing own workload;
- draft correspondence – memos, letters, etc.;
- coordinate the scheduling of meetings for board and cabinet-level meetings for the VP, organize and manage documents for the overall board of trustee materials, confidential materials as it pertains to these as well as other university functions;
- maintain confidentiality on all aspects pertaining to the VP;
- oversee office operations of the Division of Facilities and University Operations;
- manage and provide office operations for Facilities and Auxiliary Services;
- provide support for processing agreements for Legal Services;
- create budget reports and maintain budget records;
- assist with visitors, emails, and phones when needed; and
- supervise one direct report.
Position Requirements
- Bachelor’s degree strongly preferred with 5-7 years’ demonstrated experience in university operations supporting executive-level functions.
- Demonstrated effective communication and interpersonal skills required.
- Demonstrated working knowledge of standard office equipment required.
- Computer proficiency is required with an emphasis on word processing, spreadsheet, and data management skills.
- Demonstrated effective problem-solving skills and the ability to operate independently, work own schedule, multitask, and meet deadlines.
- Demonstrated record-keeping and organizational skills required.
- Demonstrated ability to organize a demanding and fluid schedule.
- Demonstrated ability to maintain confidentiality at all times.
- Knowledge of MS Word and Excel.
Position Preferred Qualifications/Experience
- Ability to learn Banner software, Canvas and scheduling software as well as CBORD.
- Excellent interpersonal relationship skills.
- Facilities Management experience
