Position Description
The Center for Primary Care (Center) was founded in 2010 to strengthen primary care education and innovation at Harvard Medical School. Over the past 10 years, the Center has grown successfully by facilitating innovations in practices, conducting original research by studying exemplary primary care systems, launching new training programs, assisting with curricular change at HMS, supporting entrepreneurs in primary care delivery, and engaging students.
 
The Program Manager will be independently responsible for all administrative coordination of the HRSA-funded Technology Enabled Education for Community Health (TEECH) project; They will serve as the principal administrative contact, and liaison for internal and external department and program constituencies; review and analyze procedures and policies; assess outcomes and implement changes; work very independently with minimal supervision in a work environment of multiple and conflicting priorities; anticipate and resolve problems, updating supervisor as needed; may train, delegate and direct work of support staff, students, LHT’s and temps.

Typical Duties:
  1. Manages and has lead/primary responsibility for the HRSA-funded Technology Enabled Education for Community Health (TEECH) project; Handles a significant amount of detailed work as it relates to project management, research, monitoring & evaluation, coordination of project teams, communication with internal and external stakeholders;
  2. Develops and implement complex administrative systems and procedures;
  3. Serves as the principal administrative contact and liaison with the program constituents, government agencies, and partner sites; principal source of information on TEECH program policies and advises faculty, students, or staff on regulations and policies;
  4. Prepares and maintains unit's records (financial, personnel, administrative, research); reviews complex documents, reports, etc., to assure compliance with University requirements and/or government regulations, and notifies supervisor of unusual situations as needed;
  5. In collaboration with the Assistant Director of Grants and Finances, monitors budget(s) including grants, maintains financial documentation, and provides information, research, statistics, and analysis. Advises on expenditures and monitors towards a large or complex defined budget;
  6. In collaboration with Associate Director of Research, monitors research and evaluation plan, and provides information, research, statistics, and analysis.
  7. Advises and trains appropriate external partners, including participating partner sites accordingly;
  8. With the current program manager, co-manages all logistical aspects of events/programs, including staffing, facilities, amenities, and meeting materials. Negotiates with hotels, caterers, and vendors;
  9. Develops and manages data tracking systems, often using a variety of computer software; prepares statistics and reports on program participation, survey results, budget, evaluations, and research;
  10. Trains, oversees, schedules, and directs work of support staff, students, and/or LHT’s and temps;
  11. Evaluates policies and procedures; recommend and implement improvements;
  12. May prepare grant proposals; may provide policy interpretation on grant parameters. May serve as liaison to granting institutions/donors;
  13. In collaboration with the Assistant Director of Communications and Marketing, may oversee relevant websites and communication materials;
  14. May assist with staff recruiting efforts; screening resumes, and interviewing applicants in person;
  15. Contributes to unit goals by accomplishing related duties as required.
Basic Qualifications
5 or more years of experience. Higher education may count towards experience.
 
Additional Qualifications and Skills
  • Bachelor's degree is strongly preferred. Master's degree preferred.
  • This role must handle confidential material with tact and discretion; have a strong customer service orientation and outstanding judgment and interpersonal skills; have the ability to manage high-volume, competing, and often time-sensitive priorities; excel at meeting deadlines and following through on projects with great attention to detail and high-quality results.
  • Excellent written communication skills are essential.
  • The creation of internal systems to support efficiency will be encouraged.
  • The Program Manager also must have good humor and be flexible, enthusiastic, and energized by change.
  • The ability to function in an entrepreneurial, rapidly evolving setting with a “can-do” attitude and team spirit is essential.
  • Excellent organizational skills with a particular ability to prioritize work in an environment with multiple and conflicting interests.
  • Proven project and/or program management skills.
  • Excellent interpersonal, analytical, and communication skills.
  • Ability to work independently with minimal supervision.
  • Proficiency in using a variety of computer software and systems.

This is a one-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position. 


This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
