Position Description
The Department of Systems Biology is a vibrant and exciting Department, with faculty and researchers who have successfully competed for funding from a wide range of sponsors including NIH, NSF, DARPA, and others. We are seeking a dynamic and flexible Senior Research and Finance Administrator to partner with members of the finance team, department staff, faculty, and researchers to continue this success.

Reporting to the Assistant Director of Finance (ADF) with a direct line to the Director of Finance and Administration (DFA), this cross-functional role will be responsible for a variety of administrative and financial functions. This includes providing research administration and financial management support for SysBio faculty, and the Finance team, playing a role in Service Center/Core financial administration, as well as supporting a subset of accounts payable and receivable functions. The Senior Research and Finance Administrator will be responsible for ongoing weekly/monthly tasks, and perform peer review of proposals, progress reports, and financial transactions. They will play a significant role in supporting the team during Finance team member vacancies, peak proposal submission periods, the annual budget process, fiscal year-end, and when transitioning to new systems or processes. The Senior Research and Finance Administrator will help support our Financial Analyst with service center and core administration and also serve as a liaison to department administrative staff for cross-functional processes.

Research Administration responsibilities include, but are not limited to-
  • Provides support to faculty and administrators with proposal preparation, developing budgets, budget justifications, supporting documentation, and required institutional information. Shepherds supported proposals through Department and HMS proposal review and submission process.
  • Ensures compliance with federal regulations and University, HMS, and sponsor policies.
  • Completes monthly budget and expenditure reconciliation, financial projections, interpreting financial policies, and applying best practices in order to effectively communicate financial status to PIs, sponsors, and related University offices.
  • Responsible for monitoring account balances and deficits, performing spending projections, and developing financial reports.
  • Conducts financial analysis, and presents financial reports that include committed and available balances across all funds, both sponsored and non-sponsored.
  • Reviews and approves financial transactions, including reimbursements for travel, corporate card expenses, purchasing card expenses, and a high volume of supply orders.
  • Prepares ADI/journal adjustments, GL-PCR adjustments, AP adjustments, cost transfers, travel reimbursements, and financial reports.

Financial Administration responsibilities include, but are not limited to-
  • Serves as back-up for Department Financial Associate and Financial Analyst during absences, the annual budget process, fiscal year-end, and when transitioning to new systems or processes.
  • Provides additional training and dedicated support to department staff on local processes including ordering in Buy-2-pay (B2P), corporate and purchasing card reconciliation, and travel booking and reimbursement.
  • Liaisons with Core affiliated administrative staff group for user and group account setup support.
  • Works directly with the central Accounts Receivables office to request AR Customer Setup for new/outdated external user and group accounts.
  • Partners with the ADF and DFA to implement local procedures, recommend process improvements, and resolve issues.
Basic Qualifications
3+ years of relevant work experience in pre- and post-award management required; a combination of education and experience may be considered.
Additional Qualifications and Skills
  • Bachelor’s degree preferably in finance or accounting.
  • Must be well organized, flexible, and able to support multiple, challenging projects simultaneously in a fast-paced work setting.
  • Working knowledge of Uniform Guidance (2 CFR 200), FAR, and other federal-sponsored research regulations.
  • Working knowledge of federal (e.g. NIH, NSF, DARPA) and non-federal sponsors’ policies and procedures, and current issues in sponsored research administration.
  • Strong skills in MS Excel, Adobe, MS Word, and ability to learn new software and systems (including web-based tools).
  • Excellent written and verbal communication skills.
  • Ability to prioritize duties and meet multiple deadlines.
  • Ability to work independently and as a team player with a diverse constituency.
  • Excellent customer service and problem-solving skills.
Additional Information
This is a two-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
 
This position is based in Boston, but the work may be done primarily remote. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
