The Housing Coordinator Position is a full-time, live-in position in the University of Oklahoma’s Athletics owned and operated residence hall, Headington Hall. The Housing Coordinator Position is an entry level position. Headington Hall provides a unique and outstanding opportunity for growth & development. The Housing Coordinator is responsible for developing, coordinating, and maintaining a positive intellectual, emotional, and social living environment for all residents (Student-Athletes & Traditional Students). The Housing Coordinator serves as the live-in leadership for Headington hall and supervises two Graduate Student Resident Directors directly and 16 RAs and Desk Clerks indirectly. The Housing Coordinator will be responsible for the hiring, training, evaluation, and day-to-day supervision of the GAs. Other responsibilities include but are not limited to: participating in an on-call, emergency response duty rotation; adjudicating conduct cases of residents; assisting with placement/room allocations; and coordination of programming model.
Essential Functions:
Supervision
- Coordinate departmental initiatives such as Training, Selection, Professional Development, Teaching of Student Staff Class, etc.
- Holds regularly scheduled staff meetings with direct reports and attend indirect staff meetings as needed
- Create and maintain a duty schedule/rotation for professional and para-professional staff to ensure 24/7 coverage
- Provide feedback for graduate students on a regular basis through one-on-one meetings and semester evaluations
- Ensure feedback is being provided for subordinate staff (RAs & Desk Clerks) as well
- Reports students and staff concerns and staff performance regularly to the Director of Operations
- Delegate appropriately to ensure tasks are completed in a timely manner
Community Development
- Collaborate with GAs and student staff as well as other departmental staff to create a programming model & calendar each semester
- Maintains professional boundaries & relationships with the residents and community of Headington Hall
- Supports the establishment of community standards & expectations
- Mediate and assist in mediation between residents, staff or any other members of the community as needed
Conduct Education
- Serve as Administrative Hearing Officer as part of the University Conduct Process
- Communicates and interprets University and departmental rules, regulations and community standards (as well as federal, state and local laws) so residents know and understand these policies and the possible consequences for violating them
- Actively enforces policies by promptly confronting any violations
- Participates in duty rotation for building as scheduled, whether regularly scheduled or in an emergency or as needed
- Participates in Break Duty coverage as needed
- Responds to emergencies as directed
Departmental Stewardship
- Remains willing to provide support and assistance to other staff
- Offers positive contributions in staff meetings, when necessary, approaches/confronts other staff members appropriately
- Supports Departmental and Hall policies, and communicates concerns with the Athletics Department to their supervisor(s) in an appropriate manner
- Builds a positive working relationship with supervisor(s), Graduate Assistants, Resident Assistants, Desk Clerks, Community Government, Maintenance, Dining and Housekeeping staff
- Acts as a role model by setting the best possible example
Training & In-Service
- Attends all job-related workshops/training
- Attends in-service training (weekly hall staff meetings, monthly staff developments etc.) as needed
- Confers individually and works closely with supervisor for purposes of professional development and evaluation
- Ability and willingness to gain and maintain more familiarity with the Athletics Department and campus agencies and their personnel to whom students may be referred
Facilities Management
- Works closely with Director of Operations and Facilities Management/Housekeeping to maintain physical condition of the building
- Maintains keys and inventories for residential areas
- Manages Headington Hall’s Move-in & Move-out
- Reviews the physical appearance of the community area and reports maintenance and facility concerns
- Participates in bi-weekly walk through with Maintenance
- Ensure all work orders run through Athletics Facilities Management
Administrative Responsibilities
- Facilitates check-in and check-out of residents and keeping track of resident occupancy through StarRez
- Provides and maintains updated community rosters/warm body counts as directed by supervisor
- Facilitates the processing of room requests & transfers
- Ensure charges are properly administered to resident accounts
- Adhere to the Headington Hall Emergency Management Plan
- Adheres to Headington Hall Confidentiality Agreement
- Completes Weekly / Bi-Weekly reports and provide to supervisor as requested
- Oversee / Coordinate building access through Blackboard
- Assist with Bookings / Room Assignments as needed
- Manage fiduciary responsibilities regarding to payroll budgets and staff scheduling
- Track and account for all PCard expenses and ensure they are within provided budget
- Maintain appropriate databases (Student Staff Selection / Employment Roster / etc)
- Ensure Headington Hall email & voicemail are answered and responded to within 48 hours, if not sooner
- Ensure event space is properly scheduled
- Other duties as assigned to meet the needs of the students and the department
- If unsure about an aspect of their position or duties, takes the initiative to ask
- Evenings, Overnight, Weekend and Holiday commitments may be required.
- As an employee of the Athletic Department all University, Departmental and NCAA policies as well as Federal, State and Local Laws must be upheld
Job Requirements
--- Required Education: High School diploma or GED, AND:
- 12 months of office clerical experience.
Skills:
- Ability to speak, read and write clear, concise English
- Highly organized and able to handle multiple projects and deadlines
- Strong initiative to solve problems
- General office skills such as multi-line phone, copying, filing, faxing, and mail
- Able to communicate well and build rapport quickly with students, administrators, and staff
Advertised Physical Requirements:
- Must be able to communicate, push, pull and engage in repetitive motions.
