Job Summary

This position is an administrative support member for the Office of First- and Second-Year Experiences (FYE/SYE). This position will staff the reception desk and interact heavily with students to manage appointments and the flow of people. This position will serve as a front-facing person in the office, responsible for promoting FYE/SYE in a positive manner. The individual should be a flexible team player and collaborate effectively with staff, students, and faculty across the university.

Responsibilities

The duties include, but are not limited to:

RESPONSIBILITIES:
Event/Program Support:
Event planning support, such as Convocation.
Training and support for student workers (Mentors, Student Assistants and Graduate Assistants)
Prepare meeting agendas, arrange meetings, and prepare meeting materials
Coordinate and Manage tabling events as needed

CUSTOMER SERVICE:
Answer the main telephone
Answer student questions and direct them to the appropriate services
Maintain paper and office supplies
Collaborate with others to support student needs
Manage email communication for FYE, JJSP, etc.
Use EAB Navigate to support student success

UPDATE AND CREATE MARKETING MATERIALS:
Update webpage
Create flyers using Canva
Engage social media as needed
Create newsletters, both paper and virtual, along with promotional material

MANAGE CALENDARS:
Coordinate and manage events/programming (Jaguar Jumpstart, Convocation, INQR 1000 and LDRS)
Reserve rooms and manage conference room reservations in EMS
Upload events and student information in Presence and University Calendar

OTHER DUTIES AS ASSIGNED TO SUPPORT THE MISSION OF FYE/SYE:
Work closely with the Budget Director
Organize office supplies with the inventory control
Organize/keep a sanitary office area

Required Qualifications

Associate's degree from an accredited college or university in a related field with one year of experience; Or High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization with four years of progressively responsible office support experience.

Preferred Qualifications

Exemplary interpersonal skills and the ability to maintain a professional work environment. Ability to manage multiple projects while supervising student employees, answering phones, and business processes.

Knowledge, Skills, & Abilities

KNOWLEDGE
Strong computer skills including familiarity with Word, Excel, Navigate, and Banner applications

ABILITIES
Ability to follow directions, implement plans, and then respond /follow up with FYE/SYE Director & Coordinator
High degree of autonomy, strong initiative, self-guided and reflective
A highly professional and articulate individual with excellent written and verbal communication skills and strong attention to detail
Excellent analytical and problem-solving skills
Ability to communicate effectively and to follow oral and written instructions
Must possess excellent time management skills, maintain strict confidentiality; be honest and trustworthy; respectful and possess cultural awareness and sensitivity
Must be flexible and willing to support initiatives of FYE/SYE
A good sense of humor, recognizing that positivity is important for a workplace

Conditions of Employment

All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.
