Facilities Services Division provides quality customer service by maintaining a safe, healthy, and aesthetically pleasing environment in which students, faculty, and staff can function and accomplish their educational objectives and by supporting a patient care culture that continuously improves. Facilities Services' responsibilities include Interior and Exterior Facilities Support, Construction, Space Management, and Environmental Services.

Job Summary

Provides primary administrative support for the Director of Facilities Planning Design & Construction and up to nine (9) Project Managers and Project Coordinators. Manages office operations, serves as the first point-of-contact, creates management reports and works independently on ongoing and special projects. Exercises discretion and occasionally deals with information of a sensitive and confidential nature. Responds to a variety of situations in a timely manner, collects and analyzes project data, initiate and track Project status and create reports. Manages time entry in banner, continuously provides a high level of customer service and represents the office in the highest professional manner. Provides assistance for Planning Design & Construction staff related to document management, scheduling meetings, ordering office supplies, and communicating with vendors and other outside contractors. Responsible for scheduling and coordination of meetings for the Director of Facilities Planning Design & Construction including coordination and management of occasional travel. Ensures that the office operates in a professional, efficient and organized manner.

Responsibilities

The responsibilities include, but are not limited to

Administrative Support

Provides primary administrative support for Facilities Planning Design & Construction leadership. Maintains calendar, answers calls and emails, schedules and assists Director for all meetings (both virtual and in-person); maintains files and confidential information and prepares presentations utilizing Excel spreadsheets, Powerpoint presentations, Project Status Reports, general project data and other MS Office software. Assists Planning Design & Construction Project Managers and Coordinators in select administrative functions such as scheduling meetings, ordering supplies and materials, meeting preparation and communication efforts.

Recruitment Assistance

Assists Director in all phases of staff recruitment including preparing Position Classification Forms, scheduling interviews and communicates with potential candidates.

Data Collection and Management

Assists with collection of Planning Design & Construction's performance and effectiveness metrics from documented project status reports. Utilizes metrics to create and prepare reports for the Director related to all areas of service performed by the Facilities Planning Design & Construction. Develops and maintains organizational charts for the Facilities Planning Design & Construction organization. Exercises considerable discretion concerning the handling of sensitive and confidential information related to staff and projects.

Reporting

Assists with preparation of reports by collecting and compiling data, issuing reports and processing related paperwork.

Other Duties as Required

Performs other duties and special projects as assigned including providing support to other AU organizations and events.

Required Qualifications

Educational Requirements

Associate's degree from an accredited college or university in a related field and four years of progressively responsible administrative support experience; or a high school diploma/GED and seven years' progressively responsible experience in administrative support positions

Other Required Qualifications

Valid Drivers License to operate AU vehicles

Bachelor's degree from an accredited college or university.

Shift/Salary/Benefits

Shift: Days/M-F

Pay Grade: 12

Salary Minimum: $15.06/hour - $19.58/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment

All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.

Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.

Driver's License Statement

The Human Resources Division will request a driver's history report for the identified top candidate(s) for this position.
