The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.

Job Summary

Administrative support to the Associate Dean of Academic Affairs and Advanced Education and to the Offices of Academic Affairs and Advanced Education to include the Director of Assessment and Compliance performing duties of a complex and confidential nature including but not limited to visitor reception, telephone coverage, correspondence, documentation preparation, student registration and grade reporting coordination, entry of academic schedules, reserving classrooms, coordinating with classrooms services, assisting with appointments, travel, and expense reimbursement, accounting, filing, various project assistance, and other duties as assigned.

Responsibilities

The duties include, but are not limited to:

RECORDS: Maintain digital student academic records including coordination of student registration, grade changes, CIR, attendance verification, and academic honors. Maintain digital files in Box. Provide classroom support for various courses taught by Associate Dean.

ADMINISTRATIVE SUPPORT: Provide advanced administrative support to the Associate Dean of Academic Affairs and Advanced Education; manage calendar, emails, meeting schedules, document preparation, travel and expense documentation/tracking for Academic Affairs/Advanced Education, order office supplies, and track projects.

ADMINISTRATIVE DUTIES: In conjunction with the Associate Dean of Academic Affairs & Advanced Education create and distribute annual calendar for the Office of Academic Affairs/Advanced Education, maintain filing systems including digital files.

REPORTS: Prepare reports, including budget, for the Office of Academic Affairs, serve as liaison to students for academic issues.

SCHEDULING: Coordinate clinical rotations swaps, communicate process to students, be the liaison between Patient Services, rotation directors, and students.

PROJECTS: Support Academic Affairs/Advanced Education projects as needed including but not limited to accreditation, scheduling, graduation, data reporting, and taking minutes at meetings.

OTHER DUTIES: Perform other duties as assigned.

Required Qualifications

Associate's degree from an accredited college or university in a related field and four years of progressively responsible experience in administrative support positions

OR

High School diploma, GED or equivalent from a recognized State or Federal accredited organization and seven years of directly applicable experience.

Preferred Qualifications

Preferred Education: A Bachelor's Degree is preferred. Experience with database software (i.e. Banner) Additional related experience.

Preferred Experience: Proficient in Microsoft products (Word, Excel, PowerPoint, Access, Outlook). Ability to learn and master technology including databases. Excellent customer service skills, communication etiquette, organizational skills, and initiative.

Knowledge, Skills, & Abilities

KNOWLEDGE:
Proficient computer skills in Word, Excel, Outlook, Adobe Acrobat, Banner, PowerPoint, Compliance Assist, eCurriculum, Qualtrics
Working knowledge of the policies and procedures
Proficient knowledge of bank account reconciliation.
Professional address and demeanor required.



SKILLS:
Excellent customer service skills and communication (including telephone).



ABILITIES
Ability to interact with a wide variety of people including faculty, students, residents, deans, staff across university, as well as external callers and visitors.
Ability to proofread with a high-level accuracy.
Ability to accurately compose, format, edit correspondence and documents.
Ability to quickly learn software.
