Bidder Eligibility:

This Limited Term Employee (LTE) position is a temporary position for one year term, which may be renewed at Sandia's discretion up to a maximum of seven years.

Individuals in LTE positions may bid on regular Sandia positions as internal candidates, and in some cases may be converted to regular career positions during their term if warranted by ongoing operational needs, continuing availability of funds, and satisfactory job performance.

Level promotions (Member to Senior, Member to Principal, and Senior to Principal) may be permitted, but are not guaranteed, on this requisition.

Employees must remain in their current position for one year before applying for a new position, with the exception of student interns. Application of this requirement will not supersede collective bargaining agreements. What Your Job Will Be Like:

An opportunity exists for travel support staff to join the Travel & Events Management Department, which is committed to leading the DOE complex by providing high quality customer service, ensuring operational excellence and innovation, and developing and maintaining respected relationships with key stakeholders to enable mission success. The successful applicant will serve as a subject matter expert for Sandia’s travel operations. This individual will work with peers across the DOE Complex and engage in a variety of travel topics working with stakeholders and partners across the Labs.

On any given day you may be called upon to:

  • Support all Travel related initiatives, including metrics, measures, trends and policy.
  • Provide high level customer service: Communicate with customers, delivering solutions to travel, expense and credit card concerns raised by Sandia travelers through email, calls and support tickets; documenting and delivering "how to" guidance and training around policy compliance, Concur booking tool operations and expense reporting.
  • Provide support to the Team Lead in tracking and resolving customer service cases, interact with travel vendors and service providers to resolve cases related to travel and expense.
  • Work with team to maintain WordPress site with travel related content.
  • Analyze customer contact trends and propose opportunities for process improvement, policy updates, or customer training/awareness.
  • Proactively seek system-based and procedure-based strategies that anticipate traveler impacts when real world events occur, or when policies, service providers or software changes.
  • Maintain Standard Operating Procedures to deliver consistent customer responses in similar scenarios and fact patterns.
  • Coordinate with team members and outside organizations, i.e., Audit and Ethics, Human Resources, and Prime Contract, to develop solutions to corporate cases, as necessary.
  • Examines records to ensure compliance with applicable laws, regulations, agreements, and policies.
  • Conducts assessments and prepares attestations on behalf of executive management. Participates in risk assessments in support of the annual evaluation of internal controls.
  • May evaluate and recommend improvements to business practices, processes, and control procedures.
  • Reviews, edits, and administers financial policy, process, and procedure documents.
  • May recommend policy coverage for emerging issues.

The selected applicant can work a combination of onsite and offsite work. The selected applicant must live within a reasonable distance for commuting to the assigned work location when necessary.

Qualifications We Require:

  • Bachelor's degree in relevant business discipline plus 8 or more years of experience; or master's degree in relevant business discipline plus 4 or more years' experience; or doctorate in relevant business discipline; or equivalent experience (a minimum of 16 years of experience required to qualify in lieu of relevant degree).
  • Ability to obtain and maintain a required US DOE L-level security clearance

Qualifications We Desire:

  • Minimum of 10 years of experience with Concur system administration
  • Excellent interpersonal and teaming skills; desire to contribute to and advance a high-performing team atmosphere
  • Demonstrated exceptional customer service skills, and ability to empathize with customers while delivering compliance requirements.
  • Knowledge of Sandia’s Travel, Corporate Credit Card and Expense Reporting policy and systems.
  • Proficient in MS Office - Excel skills and Power BI with demonstrated analytical skills
  • Knowledge consistent with that typically acquired through professional field of study or professional certification, professional business judgement
  • Knowledge of auditing standards and techniques; knowledge of audit documentation requirements
  • Working knowledge of applicable standards and regulations, such as generally accepted accounting standards, CAS, federal and US Dept of Energy (DOE) acquisition regulations, DOE directives, Federal Travel Regulations, DOE directives and financial policy, and ability to interpret and apply statutory requirements
  • Desire to master the subject matter and ability to effectively communicate it to others.
  • Demonstrated ability to organize, prioritize, and follow through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and competing priorities.
  • Effective listening, interviewing, and investigative skills, and the ability to successfully manage conflict and potentially contentious situations
  • Comfort and experience working with all levels of staff and management, SFO and/or DOE HQ; experience providing executive briefing material
  • Experience booking travel for others

About Our Team:

The mission of the Travel program is to provide integrated customer service and support to all Sandia travelers. Services include management of the corporate travel card, travel expenses, travel suppliers, and audit and assurance of all travel and non-travel expense reports. The mission of the Events program is to provide support for conference management and hosted events to all Sandia employees. Services include conference management, sponsored and hosted events management, management of the event credit card, and audit and assurance of relevant policy areas.
