Summary

The Research Administration Associate will support the Pediatric Immunology, Allergy, and Retrovirology Division, and will primarily focus on pre-award administration, at the grant application proposal stage; and will also contribute to award activities throughout the award life cycle: cost assessment, budget development and management, financial set-up, resource allocation, invoicing, and preparation of quarterly reports. Primary focus will include Basic Science and Human Subject Research, with a significant amount of awards that are federally funded. Must be organized and able to work independently, with limited supervision, supporting (20- 25) active researchers. The Research Administration Associate should be familiar with pre-award grant submission processes. Must be comfortable with creating and managing contracts, subcontracts, and able to coordinate multiple projects at one time. This role reports through the Center for Research Advancement and Division leadership for key deliverables.

 

This position is eligible for a future hybrid schedule.

 

Employees with CRA certification are eligible for certification pay.

Job Duties

  • Provides guidance to investigators for proposal development and submission, by interpreting granting agency guidelines and instructions.
  • Participates in investigator meetings and reports on pre-award activities.
  • Provides budget input and guidance to principal investigators when drafting budget justifications, creates the budget spreadsheets, and completes other budget forms for submission and reporting.
  • Works closely with division research administration manager to negotiate industry sponsored contracts, including clinical trial agreements, sponsored research agreements, and material transfer agreements.
  • Communicates with BCM Accounting, Grants & Contracts, BCM legal team, TCH research administration, and collaborating institutions to ensure sub-awards and independent consultant agreements are established and executed in a timely manner.
  • Manages Cost/Effort allocations in PEPT/SAP for research faculty, employees, and learners.
  • Manages the Time/Effort certification process in the BCM Effort Reporting System.
  • Manages billing grids in the Clinical Trials Management System (CTMS).
  • Ensures compliance with all federal, sponsor, and institutional policies and guidelines and serves as a liaison between faculty, employees, learners, Baylor College of Medicine, and sponsors.
  • Pre-award management for each division, including BRAIN proposal preparation and submissions.

Minimum Qualifications

  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.

Preferred Qualifications

  • Relevant experience in grant application development, budgeting, and/or grant financial management.
  • Experience with contract management and/or accounting a plus.
  • Experience working in an academic research setting strongly preferred.
  • Ability to understand and manage the complexities of research grants, including issues related to informed consent, access to data, and conflict of interest.
  • Strong attention to detail and data quality, must be proficient in Excel.
  • Experience with CTMS, SAP, BRAIN a plus.
