College/Department Information

The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.

Job Summary

To provide administrative and office support activities for the DCG' s Oral and Maxillofacial Surgery department Chairman and faculty. Know the formal and informal goals, standards, policies, and procedures, which include familiarity of other departments within the College and University. Is sensitive to the interrelationships of both people and functions within the department.

Responsibilities

The duties include, but are not limited to:

ADMINISTRATIVE SUPPORT: Provide administrative support for the OMFS department Chairman in the daily activities of the department; to include, managing the calendar and appointments, compose correspondence/reports, preparing teaching materials, making travel, or meeting arrangements, and providing any other assistance, as requested, or required

ACTIVITIES: Coordinate department's annual CE course, Academic Day associated with resident graduation activities. Assist OMFS faculty with various department-led CE Courses e.g., IV Sedation, by collaborating with the DCG Office of Continuing Ed. Act as department representative for multiple school/enterprise fundraising events.

DEPARTMENT CALLS AND MESSAGES: Answer department phones, handle, or forward messages, collect distribute mail, type correspondence, handle patient complaints, and act as a scheduler, when necessary. Work independently on projects, as assigned.

COMMUNICATION: Coordinate communications between the OMFS department Chairman and other faculty and administrative staff both within and outside the department; receive and relay sensitive information related to personnel, department and College activities; assist department Chairman with the dissemination of AU/DCG policies and procedures to department personnel.

ORGANIZATION: Organize and oversee the activities and operations of the department to ensure assigned tasks meet required timelines and standards of quality and quantity. Schedule appointments for departmental faculty; prepare and send appointment reminders; maintain and update the department calendar.

REPORTS: Prepare reports which summarize financial and statistical information related to the department's budget, accounts, activities, programs and operations; advise management of unusual funding levels and expenditures; complete information to support projected expenditures in specific areas, such as, operating costs or travel costs.

FINANCES: Maintain and monitor financial and statistical information related to travel, licenses, degrees, grant programs and activities, revenues and expenses; ensure data is current, complete and accurate. Reconcile department's budgets. Create spreadsheets, including formulas, to organize, display and summarize data, facilitate analysis, and identify interrelationships; prepare special reports for DCG administration and other AU departments, as requested, or required.

RECORDS: Assist OMFS Program Director and Office Specialist with maintaining records/documentation for program accreditation; maintain and assist with reporting of yearly CODA Self-Study with the DCG Office of Advanced Dental Education. Coordinate yearly OMSITE exam. Train/assist Office Specialist with the duties/activities of the department and OMFS Residency Program.

CREDENTIALS: Assist Office Specialist with: maintenance & renewal of licenses, certifications & credentials/contracts for faculty/residents; coordination/maintenance of travel forms, airline and hotel reservations; maintenance of faculty/resident Outlook/Google calendars; maintenance of department on-call schedule.

PREDOCTORAL COURSES: Assist pre-doctoral course director(s) with organizing and preparing materials and schedules for didactic and clinical courses. Maintain/report program curriculum inventories, registrations, class rosters and grades with the DCG Office of Academic Affairs. Prepare, proxy and grade exams. Coordinate yearly student awards with the DCG Student Affairs Office.

OTHER DUTIES: Perform other duties as assigned.

Required Qualifications

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.

OR

Associate's degree from an accredited college or university in a related field and a minimum of three years' progressively responsible experience in administrative support positions.

Preferred Qualifications

Prefer a Bachelor's degree from an accredited college or university or beyond in a related field and 2 years of experience; Experience in a dental office or practice setting; Experience in higher education setting; Experience with the following software: AxiUm, Banner, One45, PASS, Quicken, PeopleSoft Financials & HRMS, ExamSoft

Shift/Salary/Benefits

Shift: Days/M-F

Pay Grade: 10

Salary: Minimum $15.00/ hour - Midpoint $17.03/ hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
