Job Description

Manage the administration of the educational program including delivery of curricular programs, coordination of faculty, oversight of administrative operations, and workflow management of administrative functions. Serve as liaison between Ball State University, Indiana University School of Medicine, IU Health Ball Memorial Hospital, clinical sites, and other parties to facilitate delivery of the Indiana University School of Medicine academic program.

The Center for Medical Education (Indiana University School of Medicine-Muncie) seeks a collaborative and organized individual to join our team as a Manager of Administration and Operations. Job Function:

Manage the administration of the educational program including delivery of curricular programs, coordination of faculty, oversight of administrative operations, and workflow management of administrative functions. Serve as liaison between Ball State University, Indiana University School of Medicine, IU Health Ball Memorial Hospital, clinical sites, and other parties to facilitate delivery of the Indiana University School of Medicine academic program.

Minimum Education:

Associate’s degree in office administration, business administration, medical administration or related field; or two years of additional related experience will be accepted in lieu of an associate’s degree.

Preferred Education:

Bachelor's degree in office administration, business administration, medical administration or related field.

Minimum Experience:

Three years of office administrative or related experience.

Duties and Responsibilities:

  • Assist in providing institutional compliance with the Liaison Committee for Medical Education; monitor the compliance of IUSM-MU with education policies and procedures.
  • Assist in the management of affiliation agreements with clinical teaching institutions; create and maintain informational databases to handle student, faculty, and community physician information that document the educational program of the IUSM-MU.
  • Serve as liaison with the IU School of Medicine and Ball State University on student/program issues and make recommendations for issue resolution; Assist the Associate Dean and Director to address new medical education initiatives and priorities; Provide guidance and consultation in a liaison capacity between the Indiana University School of Medicine and the educational programs at IUSM-MU (IU School of Medicine Muncie).
  • Identify and discuss emerging issues for the center and propose resolutions; manage the day-to-day operations of the Director's office for the IUSM-MU; assist the Associate Dean and Director with administrative duties, special projects and managing priorities for IUSM-MU; provide support to the associate dean and director by directing, monitoring and implementing strategic, operational and organization agendas and initiatives for IUSM-MU.
  • Oversee programmatic and financial functions of the Center; track and assign various projects to all staff including professional employees and faculty; complete audits for resources and space management and serve as inventory equipment manager for Ball State University, IUSM-MU, and IU School of Medicine.
  • Provide executive support to the associate dean and director by managing the Director's calendar, travel arrangements and correspondence; organize faculty meetings, departmental events, retreats, executive meetings and dean's special activities; maintain educational calendar and resource scheduling across curriculum.
  • Communicate with faculty, students, and staff of the IUSM-MU on behalf of the Associate Dean and Director; manage correspondence with external agencies and facilitates programmatic communication; understand and communicate policies, procedures, and guidelines for both Indiana School of Medicine and Ball State University.
  • Serve as liaison for Phase 1 Ball State faculty and teaching roles, prepare MOUs for internal roles for business office implementation; serve as point of contact for promotion and tenure documents needed for Phase 1 Ball State faculty.
  • Approve timesheets in UKG in the absence of the Associate Dean and Director; participate in search and screen committees, as directed by the Associate Dean and Director; create and update position descriptions in TMS for Ball State positions at the center.
  • Assign and review work, orient and train student employees and graduate assistants, and make recommendations as to interviewing and selection, performance appraisal, compensation, and discipline.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
