Duties and Responsibilities:
- Direct and guide the execution of all Fishers Center events including events supporting Ball State University programs and external stakeholders.
- Manage and oversee the tasks involved with executing center events and classes including setting up rooms and technology, ordering catering/supplies, providing facility access & instructions, and ensure common areas and restrooms remain presentable; Provide superior customer service and proactively communicate with internal and external stakeholders before and after their event.
- Manage the Fishers Center schedule and update all events in the center calendar.
- Collaborate on the development and execution of community outreach activities for the center including initiating and fostering relationships with Ball State University staff and Fishers community partners.
- Develop marketing and promotional materials for the center; create targeted distribution lists (mail/email), create print and online marketing material.
- Manage and help maintain the Ball State Centers website (Fishers, Indy, and Fort Wayne) and social media (LinkedIn, Facebook, X, and Instagram) presence including highlighting events.
- Administer and track client satisfaction and develop continuous process improvements.
- Provide technical support for the center (TV monitors/Printers/Wi-Fi/Virtual Tools); assist center guests with technology needs and classroom support.
- Maintain center’s accounts payable and receivable activities; follow all Ball State University fiscal policies and procedures; reconcile PCards, invoice clients, adhere to center budget, order supplies, and prepare fiscal reports.
- Assist the Director in fulfilling all of the Center’s objectives; Serve as Manager on Duty during events and during Director’s absence; be “on-call” to work early mornings, evenings, and weekends to provide coverage for center events and activities.
- Perform other related duties as assigned.
- Collaborate with the Director in identifying and developing programs, workshops, and/or classes that would benefit the needs and goals of both internal and external stakeholders.
- Assign and review work, orient and train staff, and make recommendations in all areas related to supervision, including but not limited to, compensation, discipline, performance appraisal, and training and career development of personnel.
