Job Summary
Accurate donor and prospect data is essential to enable fundraisers to reach constituents and meet fundraising goals. The Database Records Specialist is responsible for maintaining and improving the accuracy, completeness, and integrity of more than 160,000 alumni, donor & friend records in Augusta University's philanthropic database. The Database Records Specialist is the lead recipient of record updates through mail, email, and colleague notifications. This position is responsible for updating, maintaining, and enhancing a variety of information related to confidential alumni, donor and friend records, scanned documents saved in the document management system, as well as external lists and hard copy files. This position must meet critical deadlines and requires concentration and focus, despite potential distractions in the work environment. Tasks may include other duties as assigned.
Responsibilities
The responsibilities include but are not limited to:
- Assists Information & Data Services staff by running periodic audit queries and records that are out of compliance with data completeness and accuracy standards or have conflicting data issues.
- Completes all alumni, donor & friend data record updates promptly, accurately, and with minimal supervision. Must adhere to existing processes and protocols.
- Requires organizing and collecting data to be entered/updated in the system, reviewing for errors, reporting any problems in the data, and maintaining data security and confidentiality.
- Assists Information & Data Services staff with retrieval, formatting, and reporting of information from the data repositories, and the validation and audit of data quality and integrity by other office staff and personnel.
- Effectively utilizes the office project/task tracking and monitoring system following standards for the recording of project progress, project status or impediments, and project completion.
- Strives to maintain high levels of efficiency and customer service. Suggests changes in procedures to improve efficiency, productivity, or customer service. Maintains procedure manuals related to areas of responsibility. Advises other staff as appropriate on procedures.

Required Qualifications
Associate's degree from an accredited college or university in a related field
OR
Completion of two years of college level coursework with two years of related experience with database integrity relation responsibilities
Preferred Qualifications
Experience with a nonprofit organization and familiarity with nonprofit terminology and data.
Experience with Raiser's Edge database preferred.
Knowledge of data entry, data security, and database best practices.
Knowledge, Skills, & Abilities
Intermediate/Advanced skills in MS Excel (functions, formulas, pivot tables, VLOOKUP's)
Fast, accurate keyboarding skills
Detail-oriented
Well-organized
Self-starter
Experience with and knowledge of database structure and use, Raiser's Edge preferred
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: B6
Minimum Salary: $18.85/hourly - $19.79/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
