College/Department Information
The Division of Sponsored Programs Administration and the Augusta University Research Institute serve as a central unit to coordinate and support Augusta University's Internal and External Sponsored Projects.
The Division aims to identify, support, and advance opportunities for research, training, teaching, and scholarly activities by managing the entire lifecycle of sponsored project ' from proposal and grant development and submission to contract preparation, award management, and project close out management. The DSPA seeks to advance extramural support programs for the institution by providing administrative, informational, and logistical assistance to faculty and staff, while ensuring compliance with pertinent policies and regulations of the institution, extramural sponsors, and federal oversight agencies.
Job Summary
This position assists the accountants by filing, encumbering subcontracts, tracking A-133 letters, logging in checks for deposit and providing back-up coverage for the receptionist position at the front desk of DSPA. The position works on special projects assigned by the Director of Cost Reimbursement.
Responsibilities
The duties include, but are not limited to:
ACCOUNTS RECEIVABLE AND ACCOUNTS PAYABLE: Process deposits and enter checks into the ARB system. Reliefs AR balances once payments are received. Update PeopleSoft Financials with payments received information and notify accountants of payments received. Assist accountants with reconciling payments and budgets. Monitor outstanding receivables and follow up on unpaid invoices.
RECORD MAINTENANCE: File paperwork for Post Award Accountants. Maintain terminated awards in file system. Correctly categorize terminated files in RFID system. Maintain records of terminated files at Augusta Data Storage; responsible for file retrieval.
SUBAWARD: Encumber subawards. Receive and send subaward invoices to departments/ accountants/ AP; maintain Accounts Payable Log.
LETTERS: Track and maintain Single Audit Letters. Send certification letters to subrecipients.
BACK-UP ASSISTANCE: Provide back-up assistance to the Front Desk Position.
NOTIFICATIONS: Distribute award ending notifications to accountants, departments and PI's.
OTHER: Perform all other related duties as assigned by Director, Post Award or Manager, Reporting and Special Projects.
Required Qualifications
Associate's degree from an accredited college or university in accounting or related field with a minimum of one year of accounting or bookkeeping related experience.
OR
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and four years of accounting or bookkeeping related experience.
Preferred Qualifications
Associate's degree from an accredited college or university in accounting or related field with a minimum of one year of accounting or bookkeeping related experience.
Knowledge, Skills, & Abilities
Basic understanding of budgeting; accounting strengths
Knowledge of research administration.
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
Detail-oriented with strong organizational, prioritization, analytical and multi-tasking skills.
ABILITIES
Ability to maintain confidentiality.
Ability to work independently or in a team environment.
High degree of accuracy with the ability to research, reconcile and resolve payment issues, handle multiple priorities, and take initiative.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Salary Minimum: $18.85 per hour
Pay Band: B6
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
