Job Summary
The Administrative Assistant II provides administrative and operational support to the Office of the President and the Office of Strategic Effectiveness. The position is responsible for meeting setup and logistics, records management, filing, and general office support duties. This role supports daily office operations by ensuring meetings, materials, and administrative processes are organized, accurate, and completed in a timely manner in accordance with established procedures.
The Administrative Assistant II serves as sometimes, the first point of contact for the office, providing professional, courteous, and responsive customer service to faculty, staff, students, and external visitors, and ensuring inquiries are addressed promptly or referred appropriately in support of a positive and efficient office environment.
Responsibilities
The responsibilities include, but are not limited to:
Meeting and Event Support: Coordinate logistical support for meetings, including room reservations, room setup, technology coordination, and catering requests. Prepare and distribute meeting materials, agendas, and handouts as directed. Assist with tracking attendance and maintaining meeting-related documentation. Support on-site meeting and event setup and breakdown as needed.
Records Management and Filing: Maintain organized electronic and physical filing systems for correspondence, meeting materials, and office records. File documents accurately in accordance with office procedures and records-management requirements. Assist with retrieving records and materials upon request.
General Office and Administrative Support: Perform routine administrative duties such as answering phones, copying, scanning, mailing, data entry, and document preparation. Serve as a point of contact for routine office inquiries and route requests appropriately. Assist with processing basic administrative transactions such as purchasing requests, invoices, and travel documentation, as assigned. Support calendar maintenance and scheduling assistance as directed.
Confidentiality and Professionalism: Handle sensitive and confidential information with discretion and professionalism. Represent executive offices with courtesy and professionalism in interactions with faculty, staff, students, governing boards, and external stakeholders. Follow direction and established office protocols while exercising sound judgment on routine administrative matters.
Additional Administrative Duties: Provide administrative support for committees, task forces, and special projects as assigned by the Deputy Chief of Staff. Provide clerical and administrative support for special projects, committees, or initiatives as assigned. Provide scheduling and calendar support as backup to the Executive Administrative Assistant. Assist with maintaining office supplies and general office organization.

Required Qualifications
Associates degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions
OR
High school diploma or GED from a recognized State or Federal accrediting organization and seven years progressively responsible experience in administrative support positions
Preferred Qualifications
Preferred Educational Qualifications
Bachelor's degree from an accredited college or university and three years of progressively responsible administrative support.
Experience OR Associate's degree from an accredited college or university and six years of directly applicable experience.
Preferred Experience
Experience supporting executive leadership in higher education or a complex organizational environment.
Experience coordinating meetings, events, or board-related activities.

Ability to follow established procedures, instructions, and office protocols consistently.
Ability to prioritize assigned tasks, meet deadlines, and adjust to changing daily needs.
Ability to maintain confidentiality and handle routine sensitive information appropriately.
Ability to work effectively both independently on assigned tasks and collaboratively as part of an administrative team.
Ability to organize meeting logistics, prepare materials, and support office operations with minimal supervision once trained.
KNOWLEDGE
Knowledge of standard administrative, clerical, and office support practices, procedures, and workflows.
Knowledge of records management, filing systems, and document organization, including confidentiality and retention requirements.
Working knowledge of office technology, scheduling tools, and basic administrative systems.
Familiarity with administrative operations in a higher education or professional office environment, preferred.
SKILLS
Strong organizational skills with the ability to manage multiple routine tasks accurately and efficiently.
Attention to detail and accuracy in filing, data entry, document preparation, and meeting support.
Effective verbal and written communication skills appropriate for a professional office setting.
Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and standard office equipment.
Strong interpersonal skills and a customer-service orientation when interacting with faculty, staff, students, and visitors.
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: B5
Salary Minimum: $17.88/hour - $19.90/hour

Conditions of Employment
